Start with the brief
Describe who will use the space, how it needs to function and what must change. Record the location, approximate area, current condition and intended opening or move-in date. Share available drawings and photographs so discussions start with the same information.
Define what is included
List the work you expect: civil modifications, building services, interiors, furniture and finishing. Identify items supplied by you or another contractor. Agree who will coordinate these interfaces and which decisions need your approval before procurement or installation.
Set a decision process
Nominate a contact for approvals and agree how design changes, cost changes and progress will be recorded. A useful programme accounts for site access, approvals and material availability as well as installation. Review these assumptions together before setting a completion commitment.
